Who is responsible for your data?

Digital by Jo is operated by Jo Winslade. For data protection purposes, Jo Winslade is responsible for deciding how personal information collected through this website and related business communications is used.

What information may be collected?

Depending on how you contact me, I may collect:

• Your name and email address.
• Your business or organisation name.
• Information about your project, requirements, budget and preferred timescale.
• Messages and correspondence sent by email, WhatsApp, Instagram or the website enquiry form.
• Basic technical and security information generated when the website is accessed, such as an IP address, browser information, request details and timestamps.

The enquiry form does not ask for sensitive personal information. Please avoid including health, financial, identity-document or other sensitive details unless they are genuinely necessary for the enquiry.

Why is the information used?

I may use personal information to:

• Respond to an enquiry.
• Understand a proposed project and prepare a quotation or proposal.
• Take steps requested before entering into a contract.
• Deliver and manage services where a project proceeds.
• Maintain website, email and business security.
• Detect or prevent spam, misuse and fraud.
• Meet accounting, tax, regulatory or legal obligations.
• Establish, exercise or defend legal claims where necessary.

Lawful bases

The lawful basis depends on why the information is being used:

• Contract or pre-contractual steps:when you ask me to provide information, prepare a quote or take steps towards a potential project.
• Legitimate interests:to manage ordinary business enquiries, maintain records, operate the website securely and prevent misuse, provided those interests do not override your rights.
• Legal obligation:where information must be used or retained to meet a legal, tax, accounting or regulatory requirement.

I do not currently use enquiry details for mailing lists or unrelated marketing.

Service providers and sharing

Personal information is not sold. It may be processed by trusted services needed to operate the website and communicate with you, including:

• Netlify:website hosting, enquiry-form processing and spam protection.
• Microsoft 365:business email and related communication.
• WhatsApp and Instagram:where you choose to contact Digital by Jo through those external services.
• Cloudflare:domain, DNS and related website infrastructure.

Information may also be disclosed where required by law, to professional advisers where genuinely necessary or in connection with protecting legal rights.

International data processing

Some technology providers operate internationally or may process information outside the United Kingdom. Where this occurs, the relevant provider’s approved contractual or legal safeguards are relied upon to protect the information.

You can contact me for more information about the providers used for a particular communication.

How long is information kept?

Information is kept only for as long as it is reasonably needed for the purpose for which it was collected.

• Enquiries that do not become projects will normally be deleted within 12 months of the last meaningful contact.
• Spam and clearly irrelevant submissions may be deleted sooner.
• If an enquiry becomes a client project, relevant records may be retained for longer where required for contracts, service delivery, accounting, tax, insurance or legal purposes.

Old website-form submissions will be reviewed and removed when they are no longer needed.

Cookies and analytics

Digital by Jo does not currently use advertising cookies, behavioural tracking or marketing analytics on this website.

Website and infrastructure providers may create essential technical records needed to deliver, protect and maintain their services. If non-essential analytics or marketing technologies are introduced later, this notice and the website’s consent controls will be updated first.

Your rights

Depending on the circumstances, you may have rights to:

• Ask for access to your personal information.
• Ask for inaccurate information to be corrected.
• Ask for information to be erased.
• Ask for processing to be restricted.
• Object to certain uses of your information.
• Receive certain information in a portable format.

I will acknowledge a data-protection complaint within 30 days, investigate it appropriately and communicate the outcome.

You also have the right to complain to the Information Commissioner’s Office if you remain dissatisfied.
